Summary:
The Legal Administrative Assistant shall be responsible for assisting with administrative functions within their respective department.
This includes scheduling appointments and meetings, providing information to callers, generating correspondence, keeping the court and licensing docket accurately, and maintaining complete files for the organization's contracts.
All functions will be performed within the guidelines of the Downstream Casino Resort's policies and procedures, Internal Control Standards, and objectives.
ESSENTIAL FUNCTIONS AND
Responsibilities:
Shall be responsible to maintain absolute confidentiality and integrity with all written and oral information regarding tribal and casino operations, management, and staff.
Maintain department and administrative records and files and generate correspondence and requested reports.
Maintain inventory of department office supplies and requisition items on a weekly basis or when needed.
Provides exceptional customer service to all patrons and communicates in a pleasant, friendly, and professional manner at all times.
Maintain a professional work environmental with supervisors and staff.
Answer appropriate telephones.
Take detailed and accurate messages and take initiative to solve problems or provide requested information.
Receive, open and distribute incoming mail as directed.
Research information to answer or respond to mail and/or correspondence.
Schedule meetings when directed.
Ensure all participants are notified, equipment requirements identified and scheduled, and other amenities furnished as required.
Shall assist the department managers as needed.
Meets the attendance guidelines of the job and adheres to regulatory, departmental, and company policies.
Assist in other duties and projects as assigned.

QUALIFICATIONS/REQUIREMENTS:

To perform this job successfully, an individual must be able to perform each of the essential duties and responsibilities satisfactorily.
Must be a minimum of 18 years of age or older upon employment.
High school diploma or equivalent required.
Post secondary education preferred.
Three to five years of administrative/clerical work experience required; legal office or legal department experience preferred.
Must have excellent grammatical skills.
Successful candidate must be an experienced, results oriented, hands-on professional with a pleasant personality and the ability to interact with the public and coworkers.
Knowledge of office machines is required including fax, copier, and personal computer.
Must be computer proficient, including experience with Microsoft Word, Excel, and PowerPoint.
Must be able to work in an intense and fast-paced environment where a high degree of concentration is necessary to perform the required job duties.
Must present a professional appearance and demeanor in dealing with the general public.
Must possess excellent communication skills.
Ability to write routine correspondence and to speak effectively to the public, employees, and customers.
Must have the ability to deal effectively and interact well with the customers and employees.
Must have the ability to resolve problems/conflicts in a diplomatic and tactful manner.
Must be able to be approved for and maintain a valid license respective to the department.
Must be able to read, write, speak, and understand English.
Must be able to respond to visual and aural cues.
Work nights, weekends and holidays as required.
Employment is contingent upon a favorable outcome of a background investigation and drug screening.
